The Executive Director (ED) will have overall strategic and operational responsibility for the Global Clinical Supplies Group, Inc. (GCSG) Nonprofit’s staff, programs, expansion, and execution of its mission and strategic plan. S/he will develop deep knowledge of field (conferences) and core programs, operations, and business plans. This position reports directly to the Board of Directors.

Responsibilities

• Implement policies established by the Board of Directors
• Conduct official correspondence on behalf of the Board or jointly with the Board as appropriate
• Recommend to Board changes to policies and procedures that would improve the organization
• Support Board of Directors and serve as ex-officio of all committees
• Participate with the Board of Directors in refining and updating the organization’s strategic plan
• Recommend resources and prepare timelines needed to achieve organization’s strategic goals
• Identify, assess and inform the Board of Directors of issues that affect the organization
• Ensure ongoing programmatic excellence for all regional GCSG conferences
• Lead, coach, develop and retain organization’s high-performing volunteers
• Act as a spokesperson for the organization and serve as a professional resource for members
• Assist in deepening and refining all aspects of communications – from web presence to external relations with the goal of creating a stronger brand, broadening customer awareness and increasing membership
• Ensure that all committee/Board members complete appropriate on-boarding documentation and are provided with information necessary for their role
• Actively engage and establish good working relationships with GCSG volunteers, Board and committee members and other partners and organizations
• Ensure the preparation of the annual budget for Board approval
• Maintain awareness of the financial and accounting records of the organization
• In collaboration with the Board Chair, and within the authority delegated by the Board, approve expenditures
• Ensure consistent quality of organizational finance and administration, communications and financial systems
• Collaborate with the Board Chair and the corporate accountant to ensure all financial and tax documents are completed and submitted in a timely manner
• Ensure the Board is provided with comprehensive, regular reports on the revenues and expenditures of the organization
• Ensure that the programs and services offered by the organization contribute to the organization’s mission and reflect the priorities of the Board
• Monitor the day-to-day delivery of the programs and services of the organization
• Keep all members of the Board and committees on track in order to ensure deliverables are completed on time and of the highest quality.

• Reports directly to the Board of Directors
• Generates the Board meeting agendas and participates in all virtual and face-to-face Board meetings to capture minutes and action items
• Sends Board meeting minutes and action items to the Executive Director for review before distributing and archiving the final versions on SharePoint
• Distributes the Executive Committee Summary of each Board meeting to the current Executive Committee members.
• Generates the Executive Committee meeting agendas and participates in all Executive Committee meeting to capture minutes and action items
• Sends Executive Committee meeting minutes and action items to the Executive Director for review before distributing and archiving the final versions on SharePoint
• Assists the Executive Director in maintaining contact lists for all active GCSG committee members

• Assists the Chair in all aspects of the design and execution of the conference plan and program
• Succeeds the Chair at the following year’s conference
• Leads the Keynote Speaker selection and acts as their handler during the event
• Ensures all registration-related deliverables are met
  • Ensures that registration windows are opened and closed on the website in a timely manner

Supports the Presentation Coordinator in all aspects of conference presentation planning

• Conference planning: Interacts with potential speakers  & ensures their preparation by:  ensuring they are aware of expectations of speaking/ facilitation role; coordinate any training/ newsletters that first time presenters/ facilitators;  Reviewing conference content/ slide decks ensuring published objectives are met & correctly formatted
• At the Conference:
  • Attends the conference as a GCSG representative & acts as point of contact for presenters and workshop facilitators throughout the conference
  • Assists with onsite registration of all speakers and facilitators
  • Assists in facilitating the Speaker Logistics meeting
  • Serves as primary point of contact for workshop room set-up and supplies
• After the Conference:
  • Updates historical speaker/topic lists with survey data
  • Reviews & revises forms/lists in SharePoint in preparation for following year’s conference planning meeting

• Generates the conference committee meeting agendas, minutes and action items
• Sends for review and then distributes and archives on SharePoint the final conference committee meeting minutes and action Items
• Assists the Conference Chair as required during the conference
• At the conference, collates and provides to the Master of Ceremonies, all relevant and required briefing information
• Has a shared responsibility for supporting the organization’s financial sustainability
• Attends the Conference Planning Meeting and regularly scheduled Conference Committee meetings

• Drafts and maintains Exhibitor agreements, Exhibitor room floor plans and hotel shipping guidelines and provides this information to the Website Coordinator and exhibitors
• In collaboration with the Marketing Coordinator, develops, manages, oversees and executes all sponsorships for the conference (European Exhibitor Coordinator Only)
• Identifies and invites prospective Exhibitors for the conference as appropriate
• In collaboration with the Communications Coordinator, prepares and sends Exhibitor e-mail blasts announcing registration and sponsorship opportunities
• Provides timely reports to the Conference Chair on exhibitor participation
• In collaboration with the Marketing Coordinator, reports to the Conference Chair on sponsorship uptake (European Exhibitor Coordinator Only)
• Oversees registration and payment of exhibitor and sponsor (European Exhibitor Coordinator Only)representatives
• Coordinates and maintains necessary communication regarding exhibitor arrangements with registered representatives

  • Maintains the chaser toolkit to provide guidance to, and follow-up with, the speaker chasers to ensure all sessions have identified leaders
  • Working with the Conference Chair, prepares and finalizes the presentation and workshop agenda
  • Invites and ensures speakers register for the conference in a timely manner
  • Supports all speakers’ preparation for the conference by:
    • Providing routine e-mail distributions keeping presenters and facilitators informed of tasks required of them
    • Ensuring all presenter and workshop facilitator documents are provided in a timely manner and in the specified format (i.e. the GCSG presentation template)
  • Identifies workshop room layouts to ensure sufficient space for all attendees
  • Provides workshop room assignments and workshop frequency planning to Logistics and Tech teams
  • Partners with Asst. Presentation Coordinator to manage ongoing planning activities
• At the Conference: 
  • Attends the conference as a GCSG representative & acts as a point of contact for presenters and workshop facilitators throughout the conference
  • Facilitates onsite registration of all speakers

The Communications Coordinator forms part of the Membership & Marketing functional team and attends team meetings as required. They own and maintain the Global GCSG Mailing lists and maintain the Global Email Blast and Announcements Schedule. In collaboration with the conference Marketing and Membership coordinators, they send timely email communications about the Conferences to the GCSG membership lists and ensure post-conference communications are sent to attendees. In collaboration with the Marketing Officer, they produce and deliver the GCSG newsletter.
