The Executive Director (ED) will have overall strategic and operational responsibility for the Global Clinical Supplies Group, Inc. (GCSG) Nonprofit’s staff, programs, expansion, and execution of its mission and strategic plan. S/he will develop deep knowledge of field (conferences) and core programs, operations, and business plans. This position reports directly to the Board of Directors.

Responsibilities

• Implement policies established by the Board of Directors
• Conduct official correspondence on behalf of the Board or jointly with the Board as appropriate
• Recommend to Board changes to policies and procedures that would improve the organization
• Support Board of Directors and serve as ex-officio of all committees
• Participate with the Board of Directors in refining and updating the organization’s strategic plan
• Recommend resources and prepare timelines needed to achieve organization’s strategic goals
• Identify, assess and inform the Board of Directors of issues that affect the organization
• Ensure ongoing programmatic excellence for all regional GCSG conferences
• Lead, coach, develop and retain organization’s high-performing volunteers
• Act as a spokesperson for the organization and serve as a professional resource for members
• Assist in deepening and refining all aspects of communications – from web presence to external relations with the goal of creating a stronger brand, broadening customer awareness and increasing membership
• Ensure that all committee/Board members complete appropriate on-boarding documentation and are provided with information necessary for their role
• Actively engage and establish good working relationships with GCSG volunteers, Board and committee members and other partners and organizations
• Ensure the preparation of the annual budget for Board approval
• Maintain awareness of the financial and accounting records of the organization
• In collaboration with the Board Chair, and within the authority delegated by the Board, approve expenditures
• Ensure consistent quality of organizational finance and administration, communications and financial systems
• Collaborate with the Board Chair and the corporate accountant to ensure all financial and tax documents are completed and submitted in a timely manner
• Ensure the Board is provided with comprehensive, regular reports on the revenues and expenditures of the organization
• Ensure that the programs and services offered by the organization contribute to the organization’s mission and reflect the priorities of the Board
• Monitor the day-to-day delivery of the programs and services of the organization
• Keep all members of the Board and committees on track in order to ensure deliverables are completed on time and of the highest quality.

• Reports directly to the Board of Directors
• Generates the Board meeting agendas and participates in all virtual and face-to-face Board meetings to capture minutes and action items
• Sends Board meeting minutes and action items to the Executive Director for review before distributing and archiving the final versions on SharePoint
• Distributes the Executive Committee Summary of each Board meeting to the current Executive Committee members.
• Generates the Executive Committee meeting agendas and participates in all Executive Committee meeting to capture minutes and action items
• Sends Executive Committee meeting minutes and action items to the Executive Director for review before distributing and archiving the final versions on SharePoint
• Assists the Executive Director in maintaining contact lists for all active GCSG committee members

• Represents the regional conference on the Global Executive Committee and cross-functional working groups on monthly calls and at F2F meetings as required (call responsibilities may be delegated to Vice Chair as appropriate)
• Overall responsibility for the design and execution of the conference plan and program
• Provides conference-related updates to the Board
• Maintains the Conference budget and provides updates to the Board as required
• Ensures the quality of the conference and the experience of attendees, speakers and exhibitors
• Organizes and facilitates the F2F conference planning meeting and subsequent conference committee meetings
• Delegates duties as appropriate to the conference committee members
• Supports the Keynote Speaker selection
• Maintains the conference timeline
• In collaboration with the Presentation Coordinator, creates the conference agenda/schedule
• Ensures the conference committee meeting agendas, minutes and action Items are captured, distributed and archived
• Creates a task list to be posted in the War Room during the conference
• In collaboration with the Vice Chair, conducts the lessons learned session following the conference
• Provides input and updates to the Conference Playbook following the conference
• Has a shared responsibility for supporting the organization’s financial sustainability
• Attends the Conference Planning Meeting and regularly scheduled Conference Committee meetings as required

• Assists the Chair in all aspects of the design and execution of the conference plan and program
• Succeeds the Chair at the following year’s conference

• In collaboration with the Marketing Coordinator, develops, manages, oversees and executes all sponsorships for the conference (European Exhibitor Coordinator Only)
• Identifies and invites prospective Exhibitors for the conference as appropriate
• In collaboration with the Communications Coordinator, prepares and sends Exhibitor e-mail blasts announcing registration and sponsorship opportunities
• Provides timely reports to the Conference Chair on exhibitor participation
• In collaboration with the Marketing Coordinator, reports to the Conference Chair on sponsorship uptake (European Exhibitor Coordinator Only)
• Oversees registration and payment of exhibitor and sponsor (European Exhibitor Coordinator Only)representatives
• Coordinates and maintains necessary communication regarding exhibitor arrangements with registered representatives
• In collaboration with the Marketing Coordinator, coordinates and maintains necessary communication regarding sponsor arrangements with registered representatives (European Exhibitor Coordinator Only)
• Coordinates, maps and oversees exhibitor activities and the exhibitor area
• Ensures exhibitor equipment and materials that have arrived at the site are transported to the exhibit area prior to the exhibit set-up time
• Acts as the primary liaison with exhibitor representatives attending the conference
• In collaboration with the Marketing Coordinator, acts as the on-site liaison with sponsor company representatives attending the conference (European Exhibitor Coordinator Only)
• Obtains Exhibitor payments in instances where payments were not made prior to the conference start
• Addresses and mitigates any Exhibitor issues prior to, during and after the conference in collaboration with the Conference Chair or Board Members
• Coordinates hotel staff and exhibitors for return shipping of equipment or materials
• Has a shared responsibility for supporting the organization’s financial sustainability
• Attends the Conference Planning Meeting and regularly scheduled Logistics and Conference Committee meetings

• Assists the Exhibitor Coordinator with all tasks as delegated
• Compiles the electrical needs of exhibitors and submits these to the Logistics Coordinator
• Provides exhibitors with their tabletop location (numbers)
• In collaboration with the Exhibitor and Marketing Coordinators, acts as the on-site liaison with exhibit and sponsor company representatives attending the conference
• Has a shared responsibility for supporting the organization’s financial sustainability
• Attends the regularly scheduled Logistics and Conference Committee meetings

• Achieves brand alignment by working with multiple teams across GCSG

• Liaises with external agencies on production of templates to align with the brand guidelines – ppt slides, articles, ebooks, flyers, social media postings, etc
• Supports e-teams in production of brand compliant assets, such as infographics, articles, white papers

The Communications Coordinator forms part of the Membership & Marketing functional team and attends team meetings as required. They own and maintain the Global GCSG Mailing lists and maintain the Global Email Blast and Announcements Schedule. In collaboration with the conference Marketing and Membership coordinators, they send timely email communications about the Conferences to the GCSG membership lists and ensure post-conference communications are sent to attendees. In collaboration with the Marketing Officer, they produce and deliver the GCSG newsletter.

• Plans the transportation between the conference hotel and outside entertainment site where applicable
